Attendance Information

• When a student will be absent, notification should be provided to the school before or at the start of the school day, when possible.
• To excuse an absence, written or electronic communication citing the reason(s) for the absence must be provided to the school no more than five school days following the date of the absence. 

How to report an absence

• Absences can be reported in ParentVUE the same day of the absence.
• Parents/guardians may also report an absence by calling Kilby Elementary School at (703) 494-6677 before 8:45 a.m. when possible.
• Please include the student's full name, teacher's name, reason for the absence, and the name of the parent/guardian reporting the absence.

• Students who are not in their classroom by 8:45 a.m. will be marked tardy.
• Students arriving after 8:45 a.m. must report to the main office with a parent or guardian to be checked in before going to class.
• A student's tardy will be recorded as excused or unexcused based on whether the reason for the late arrival meets the excused or unexcused absence criteria outlined in the PWCS Attendance Guidelines.

How to report an excused tardy

• If a student arrives late due to a medical appointment or other excusable reason, the parent/guardian should provide documentation to the main office when checking in the student.
• Parents/guardians may also contact the school at (703) 494-6677 to explain the reason for the tardy.
• Please include the student's full name, teacher's name, and reason for the tardy

• No early dismissal of students will be allowed after 3:15 p.m.
• Parents/guardians picking up a student early must report to the main office and present a valid photo ID.
• Please make every effort to schedule appointments outside of school hours whenever possible, as early dismissals interrupt instructional time.

Prearranged Absences

In order for prearranged absences to be considered for approval, the principal must be notified in writing at least five school days prior to the absence. The principal may approve up to five consecutive days of prearranged absences. Due to the varied requests on teachers, make-up work for prearranged absences will not be provided in advance. Students are encouraged to read, keep a journal, and practice academic skills while away from school.

Make-Up Work

Students are responsible for completing assignments missed during an absence. Families should communicate with the student's teacher regarding make-up work and timelines for completion.

Regular attendance is essential for student success. Kilby Elementary places a strong emphasis on students being on time, ready to learn, and present each day unless illness or an emergency prevents attendance.

Attendance Support

Kilby Elementary follows PWCS attendance guidelines and works collaboratively with families to support regular attendance. School staff may contact families and develop attendance plans when attendance concerns arise.
